1. Scope of these terms
Unity is the recruitment and staff management system operated by Croydon Drop In, a charity registered in England and Wales (charity number 1049936). By using Unity you agree to these terms.
Croydon Drop In is the employer. Unity is not a job board, and applications submitted through it are not passed to any other organisation. The vacancies advertised are vacancies with us.
These terms govern use of the system. They are not a contract of employment and do not give rise to one. Where we employ you, your employment is governed by the contract issued to you and not by this page.
2. Who these terms apply to
These terms apply to:
- Applicants for employment with us.
- Our staff, including coordinators, managers, executives and panel members, when using Unity.
- Referees, when using a link issued to them in order to provide a reference.
- Visitors browsing our vacancies without an account.
3. Your account
3.1 Registration
An account is required in order to apply for a vacancy, to save a draft application and to check the progress of a submitted application. You must confirm your email address before the account becomes fully usable. Staff accounts are created by us and not by self-registration.
3.2 Security of your account
You must keep your password confidential and must not permit any other person to use your account. If you believe your account has been accessed by another person, you must inform us without delay and change your password. We will never ask you for your password, by email or otherwise.
3.3 One account per person
You may hold one account only. Creating multiple accounts in order to submit more than one application for the same vacancy is not permitted, and we may close any duplicate account.
3.4 Closing your account
You may close your account at any time from Settings. Section 12.3 of the privacy notice sets out precisely what is deleted, what is retained, and the reasons for each.
3.5 Minimum age
You must be at least 16 to register an account and use Unity. We do not require a parent or guardian to be involved in your application or to consent to it on your behalf.
If you are under 18 and would like help understanding these terms or the privacy notice, we will explain them in whatever form is most useful to you. Section 15 of the privacy notice says how.
4. Accuracy of the information you provide
The information you provide in your profile and in your application must be true and complete. This is the most important obligation in these terms, because we recruit for work with children and young people.
What this requires, and what it does not
- A gap in your employment history is not an obstacle. Study, caring responsibilities, travel, illness and periods spent seeking work are ordinary reasons, and we ask about gaps in order to understand them.
- Having been dismissed is not in itself an obstacle. It is a matter we will discuss at interview.
- A criminal record does not automatically preclude employment with us. We consider the nature of the offence, when it occurred, its relevance to the post, and the circumstances since.
- Knowingly withholding or misrepresenting information is what this clause is directed at. Where that comes to light, an offer may be withdrawn, and where employment has commenced it may result in dismissal.
If you are uncertain whether a matter requires disclosure, you may ask us in confidence before answering.
5. Your personal information
The information we collect, the purposes for which it is used, who has access to it, how long it is retained, and the rights available to you are set out in the privacy notice, which forms part of the arrangement between us.
Two matters are restated here because of their importance. Those scoring your application cannot see your identity until you are invited to interview. Equality monitoring is optional, and hiring managers have no access to the answers at any stage.
6. Acceptable use
You must not:
- Attempt to access another person’s account, or any part of the system you are not authorised to access.
- Use software to extract data from the site, or to submit applications automatically.
- Upload any material containing a virus or otherwise designed to damage the system.
- Upload any material that is abusive, threatening, discriminatory or unlawful.
- Upload material you are not entitled to share, including documents belonging to a previous employer.
- Interfere with the security features of the system or with its operation for other users.
Staff must access candidate information only where required for the purposes of their role. Accessing a candidate record out of curiosity is a misuse of the system and a disciplinary matter.
7. Matters we do not warrant
- Submitting an application does not guarantee that you will be shortlisted, interviewed or offered a post.
- We do not warrant that the system will be available uninterrupted. It may be taken down for maintenance, and faults may occur.
- We do not warrant that the content of a vacancy advertisement is free from error, although we will correct any error as soon as we become aware of it.
We do undertake that decisions are taken by individuals, on the evidence before them, under a process designed to keep the identity of applicants out of the assessment.
8. Material you upload
Your CV, your supporting statement and any other material you provide remain yours. You do not transfer ownership of them to us.
You grant us permission to store that material, to disclose it to those who require access to it for the purposes of your application, and to retain it as part of our record of the recruitment process. We do not use it for any other purpose, we do not publish it, and we do not disclose it to any other organisation except as described in the privacy notice.
We may remove material uploaded in breach of section 6, and will notify you where we do so.
9. Additional terms for staff
The following additional terms apply to staff accounts.
- Your access reflects your role. Permissions are granted for a purpose, and every change to them is recorded permanently together with the identity of the person who made it.
- Blind shortlisting is a requirement and not a formality. You must not attempt to establish the identity of a candidate, and must not disclose identifying information to a person who is subject to the restriction.
- Equality monitoring data may be accessed only where your role provides for it. It is never a factor in a recruitment decision.
- Anything you record about a candidate forms part of that candidate’s record and may be disclosed to them on request.
- On-site sign-in is personal to you. You must not sign in or out on behalf of another person. Corrections are made by recording a correcting entry and never by amending the original record.
- Your access ends on termination of your employment.
Use of Unity is also governed by your contract of employment and by Croydon Drop In’s policies, which take precedence over these terms to the extent that they impose further requirements.
10. Suspension and closure of accounts
We may suspend or close an account where:
- It is being used in breach of these terms or unlawfully.
- It is being used to harass another person.
- It is a duplicate account created in order to submit more than one application for the same vacancy.
- Continued access would put the information of others at risk.
- The account holder has ceased to be employed by us.
We will notify you and give reasons, unless doing so would itself cause harm or is prevented by law. If you consider the decision to be wrong, you may ask us to reconsider it and we will do so.
Closure of an account does not delete all associated information. Section 12.3 of the privacy notice sets out what is deleted and what is retained.
11. Our liability to you
We take reasonable care in operating Unity. Where we fail to do so and you suffer loss as a result, we are liable for loss which is a foreseeable consequence of that failure.
We are not liable for loss which was not foreseeable, or for business losses. Unity is provided for personal use in applying for employment, and for use by staff in the course of their duties.
Liability we do not seek to exclude
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability which cannot lawfully be limited or excluded. Your rights under the Consumer Rights Act 2015 and under data protection law are unaffected by these terms.
12. Availability, and changes to these terms
We may make changes to Unity and to these terms. Where a change affects your rights, we will notify you before it takes effect and will update the version number and date shown at the top of this page.
If you do not accept a change, you may cease using Unity and close your account. Where an application is in progress when these terms change, the version in force at the date of submission continues to apply to that application.
13. Governing law and jurisdiction
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If you are resident in Scotland or Northern Ireland, you may also bring proceedings in the courts of that jurisdiction.
If any provision of these terms is held to be unenforceable, the remaining provisions continue in effect.
